Responsibilities
- Front Desk Management: Greet and welcome visitors with a professional and friendly demeanor, directing them to the appropriate personnel.
- Communication: Answer and screen incoming phone calls and emails, taking detailed messages and routing inquiries efficiently.
- Scheduling: Manage the company calendar, schedule appointments, and coordinate meetings for staff and clients.
- Administrative Support: Handle incoming and outgoing mail, packages, and deliveries with accuracy.
- Data Entry: Perform basic data entry tasks and maintain accurate digital and physical filing systems.
- Office Maintenance: Ensure the reception area and common areas are clean, organized, and welcoming at all times.
- Vendor Liaison: Assist with managing office supplies and coordinating with service vendors (e.g., cleaning, IT support).
Qualifications
- Education: High school diploma or equivalent required; Associate’s degree or receptionist certification is a plus.
- Experience: Previous experience in a receptionist or administrative support role preferred but not required for the right candidate.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with modern CRM software is a plus.
- Communication: Excellent verbal and written communication skills with a polished phone etiquette.
- Interpersonal: Strong interpersonal skills with the ability to remain calm and professional under pressure.
