Responsibilities
- Manage incoming calls, emails, and virtual inquiries with professionalism and efficiency during evening hours (4 PM - 12 AM)
- Coordinate client appointments, meeting logistics, and office resources using digital scheduling tools
- Process incoming/outgoing mail, shipments, and confidential documents with meticulous attention to detail
- Assist with administrative tasks including data entry, report generation, and document management
- Maintain secure digital and physical filing systems in compliance with company protocols
- Collaborate with remote team members via video conferencing and collaborative platforms
- Support office operations by managing inventory orders, vendor communications, and facility maintenance requests
Qualifications
- Minimum 2 years of receptionist or customer service experience with evening/shift work availability
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and virtual meeting platforms
- Exceptional communication skills with fluency in both English and Spanish
- Proven ability to multitask in fast-paced environments while maintaining composure
- Strong organizational skills with attention to detail and confidentiality standards
- Comfortable with hybrid work model requiring 3 evenings per week on-site in San Antonio
