As our Evening Receptionist, you will be the first point of contact for our evening visitors and the primary point of communication for our clients during non-standard hours. Responsibilities
- Professional Greetings: Provide a warm, professional welcome to all visitors, vendors, and employees arriving during the evening shift.
- Communication Management: Answer incoming phone lines with a polite and helpful demeanor, screen calls, and accurately route messages to the appropriate departments.
- Front Desk Administration: Manage the front desk area, including check-in processes, mail distribution, and ensuring the reception space is tidy and organized.
- Data Entry & Records: Accurately input client information, update databases, and maintain digital and physical filing systems.
- Access Control: Monitor building access points, assist with visitor parking arrangements, and enforce security protocols.
- Administrative Support: Assist with light clerical tasks such as scanning, faxing, and preparing meeting materials for evening staff.
- Vendor Liaison: Coordinate with external vendors or couriers who may visit during the evening hours.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field preferred.
- Experience: Previous experience as a receptionist or in a customer service role is strongly preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly.
- Communication: Excellent verbal and written communication skills with a professional, polished tone.
- Availability: Must be available to work evenings, specifically 4:00 PM to 12:00 AM, Monday through Friday.
- Interpersonal: Strong interpersonal skills with the ability to interact professionally with a diverse range of people.
- Reliability: Demonstrated history of punctuality, dependability, and a strong work ethic.
