Responsibilities
- Front Desk Management: Greet and welcome visitors professionally, directing them appropriately and ensuring a positive first impression.
- Communication Hub: Answer and route incoming calls with exceptional phone etiquette; take accurate messages and relay information promptly.
- Scheduling & Administration: Manage the appointment calendar, schedule meetings, and assist with basic data entry and filing.
- Office Coordination: Order and maintain office supplies; coordinate with vendors for office upkeep and repairs.
- Client Relations: Assist in preparing meeting rooms, serving refreshments, and supporting internal teams during client visits.
- Mail & Correspondence: Sort and distribute incoming and outgoing mail; manage email correspondence in a timely manner.
Qualifications
- Experience: Previous experience as a receptionist or in a front-office administrative role is preferred.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Communication: Excellent verbal and written communication skills with a polished, professional tone.
- Organization: Strong multitasking abilities and the capacity to prioritize tasks in a busy environment.
- Professionalism: High level of integrity, discretion, and customer service orientation.
- Flexibility: Availability to work a consistent part-time schedule (e.g., 20-25 hours per week).
